Interviews: Initial Setup
Scheduling & Interviews: An Introduction
This guide provides an overview of the different tools available for scheduling in Ashby and how they work together to support an excellent candidate experience. Before setting up your interview plans and interviews, we recommend setting up a shared calendar and reviewing our meeting hours guide.
Interview Plans
Interview plans determine the stages your candidates will pass through when interviewing with your team. Interview plans are created in Admin, then assigned to jobs.
Feedback Forms and Interviews
In this article, you learn how to create feedback forms and interview templates. By default, the templates you create are available to all jobs.
Meeting Hours
Meeting hours allow you to set regular availability for scheduling interviews. Meeting hours can be set for the company, for individual interviewers, and for schedule interview activities.
Setting Scheduling Defaults
Scheduling defaults let you set company-wide communication and direct booking/candidate availability settings. Ashby uses these default settings while scheduling unless you specify different values on Interview Plans or individual Interview Schedules.
Setting up Schedule Interview Activities
This guide covers how to add to job interview plans to set up a structured interview process within Ashby. These activities are typically used whenever you need to schedule interviews with specific interviewers, as opposed to take home activities, application reviews, or questionnaires which do not have interviewers assigned.
Setting Interviewer Limits and Pausing Interviewers
This article covers how to set limits on the number of interviews your interviewers can take per day or per week, and how to pause interviewers from being scheduled. These tools help prevent interviewer fatigue and ensure availability is managed fairly across your organization.
Direct Booking & Candidate Availability Links
Direct booking and candidate availability links simplify your scheduling workflow. By allowing candidates to choose times directly on an interviewer's calendar or provide their own availability, you reduce the back-and-forth emails typically required to book an interview.
Assigning Interviewers
This article explains how to assign interviewers to interviews in Ashby. It covers setting up interviewers on the schedule interview activity in your job's interview plan, as well as how to assign interviewers during the scheduling process itself — including when no interviewers were pre-configured.
Manually Scheduling Interviews
Ashby provides a variety of features that make it easy to schedule interviews and collect feedback on candidates. This article focuses on the manual scheduling flow, showing how to schedule an interview manually from an existing interview activity or by creating a new one.
Rescheduling and Canceling Interviews
This article explains how to reschedule or update interview details and how to cancel interviews in Ashby. For guidance on initially assigning interviewers or setting up interviews, see Assigning Interviewers and Setting up Schedule Interview Activities .
