Updating Personal Settings
You can update your avatar, complete individual OAuth and manage your notification settings in your Personal Settings.
Recommended setup
As part of your Ashby setup we recommend that you:
- Update your avatar to a recent photo for your candidates to recognize you
- The image should be a square (of any size) and preferably have some margin around the photo’s subject. 400 x400 px is a good place to start.
- Update your notification settings to control which email and/or Slack updates you receive
- Share your email with your recruiting team to send emails on your behalf (this is optional)
- Set your meeting hours for when you’re available for interviews
Personal settings
You can access your personal settings by navigating to your name in the upper right corner, and then selecting Personal Settings. Below is a description of the various settings areas you can update.

- Notifications: Set when and where you receive notifications, either via email or via Slack (if the integration is in place). More on this at Notifications & Notification SettingsNotifications & Notification Settings
- Email Templates: Create personal email templates that you can send out to candidates. More on creating email templates at EmailsEmails.
- Email Settings: Here you can configure email sync, opt to use tracking links, set up email signatures, or enable an "undo send" delay for emails you send out via Ashby.
- Email Sharing: Request access to send emails on behalf of another user. You can also opt to share your email address with others. More on this at Personal Email Sharing.
- Meeting Hours: Set your availability for interviews here. For additional information, check out Meeting Hours

FAQ
My profile picture has synced over from Google Workspace but it’s very pixelated. Why?
Images synced over from Google Workspace do not have a high enough resolution. As such, we’d recommend users upload their avatar within Personal Settings to fix this.
Can I add an email signature in Ashby?
Yes. Email signatures can be added to Ashby via two routes:
- If you have the Google Workspace integration in place, then your Gmail signature should sync over and can be added to emails
- You can set up an email signature in Personal Settings > Email Settings
Within Email Settings, you have the following options:
- Enable Email Signature: Opt to automatically include your email signature in all emails sent from Ashby moving forward
- Before quoted content: Enable this to insert your email signature before quoted text in replies and remove the "--" that precedes it
- Email Signature to use: Determine whether you would like to use your Gmail signature (if applicable) or a custom one you can set up in Ashby
- Gmail/Custom Signature: You can preview your Gmail signature here, or add your custom signature here.
When creating your custom signature, you can embolden, italicize or underline text. You can also insert bulleted or numbered lists, links or images.
If you've made changes to your Gmail signature and don't see the correct signature when previewing it in Ashby, you can click Refresh to import the new signature immediately.
The Refresh button will be greyed out if you haven't authorized your Gmail account from the Google Workspace Settings page in Personal Settings.
Can I set another user's personal settings?
Users can only set their own personal settings. You cannot impersonate or log in as another user to set personal settings on their behalf, and admin users cannot set another user's personal settings either.
