A candidate’s profile can be deleted or anonymized if they aren’t being actively considered for any jobs. If the candidate is still being considered for a role, they will need to be archived on all job considerations before they can be deleted or anonymized. Both the options to delete or anonymize a candidate can be found within the

. Candidates that are anonymized will have PII removed from their profile but information can still be used for reporting (archive reasoning, stage reached, etc). Anonymization cannot be undone.

When a candidate is anonymized, an activity will be added to their profile with a timestamp of the date and time they were anonymized.

 When you initially delete a candidate, it’s treated as a soft deletion. 

You can restore candidates or fast track a permanent deletion via the 

 page. If the candidate is not restored after ten days, then they will be permanently deleted. The date of permanent deletion is listed on the Restore Deletions page.

Can I configure rules to help maintain compliance with data laws?

A candidate has multiple job considerations or applications on their profile for the same job. Can I delete an application on their profile?

It’s not possible to merge or delete job considerations on a candidate’s profile. If the candidate should only be considered for the role once, archive the other job considerations you don’t plan to move forward with.

ow does anonymizing a candidate work with the email events on the candidate’s feed?

Once a candidate has been anonymized, a record of email events will still show on the candidate’s feed (including the date and time the email was sent). However, the subject, body and the candidate’s email address will be anonymized.

The openings feature in Ashby lets you track your open headcount and hiring goals as well as metrics for each individual headcount accurately. You can assign multiple openings to a single job.

Schedule interview activities can be set up within each stage of your job’s interview plan. These activities allow you to select an interview type, interviewers and set the interview’s settings in advance.

Tokens you can add to your sequences and email templates to pull information from the candidate’s profile, from the sender or from the job. This information is then added to the email automatically in place of the token when sending an email.

substitution_tokens

The option to share your email address with others and for others to share theirs with you. Once shared, emails can be sent on another user’s behalf.

email_sharing

A route to import or bulk update candidates, openings or employees by uploading a CSV file. The file can be uploaded and field can be mapped accordingly at Admin > Data Management > Bulk Data Import.

A route to import candidates by emailing their resumes or CVs over to a candidate upload email address. The email addresses you can use to import candidates can be found in Admin > Data Management > Import via Email.

Projects are lists of leads or potential candidates. They help you keep track of talent that you're not actively considering for any particular role you currently have open.
