Controlling Visibility of Additional Job Considerations in the Candidate Profile
Use the Candidate Profile Application Visibility setting to control whether users can see limited information about a candidate's job considerations for jobs they cannot access. This setting helps organizations provide a high-level view of a candidate's recruiting activity while preserving job-level access controls.
Ashby offers a Candidate Profile Application Visibility option for opt-out until it is enabled for all organizations on October 25, 2026. Navigate to Admin > Organization Setup > Opt-In Features and set the Preview pop-out to Enabled or Disabled.

This setting is available on the Foundations, Legacy Plus, Plus, and Enterprise plans.

Organization Admins can manage this setting from Admin > Jobs & Applications > Job Management.
Users must already have access to the candidate profile and at least one of the candidate's job considerations to see limited application summaries.
Job access roles continue to control access to the full application and job consideration details.
Enable or disable Candidate Profile Application Visibility
- Navigate to Admin > Jobs & Applications > Job Management.
- Find the Candidate Profile Application Visibility setting and toggle the setting to Yes or No.
- Click the Preview button to view an example of what users would see with each setting. Choose whether users see all job considerations or only the job considerations they have access to:
- Users can see a short summary of all other applications: Users who can access a candidate profile will see a limited summary of the candidate's other job considerations, including applications for jobs outside their assigned access.
- Users can only see applications they have explicit access to: Users only see job considerations for jobs they have permission to access.
- Click Save.
Visibility when the setting is enabled
Users who can access a candidate profile will see a limited summary of the candidate's other job considerations, including a record of job considerations for jobs outside their assigned access.
Permissions will still apply when it comes to accessing further information on the job or job consideration.
Users will be able to view the following:
- The job title, current interview stage, and archive reason, when applicable. All other job consideration details, such as the full application, feedback, and notes, will remain hidden from the user if they do not have access to the job.
- Users will see a lock icon and the message "You don't have access to view this job consideration" when they cannot access the job.

- The candidate profile sidebar
- The Activities & Progress tab

Visibility when the setting is disabled
Users only see job considerations for jobs they have permission to access in the candidate profile sidebar, Activities & Progress, Talent Rediscovery, and Bulk Application Review.
Disabling this setting does not remove a user's existing access to candidate profiles or job considerations within their assigned jobs.

Why can a user see a candidate profile but not open a job consideration?
A user can have permission to view a candidate profile while having limited access to the candidate's job considerations. When Candidate Profile Application Visibility is enabled, Ashby shows a limited summary for job considerations outside the user's job access without linking to the restricted job consideration.
Are confidential jobs included in the limited summaries?
No. Ashby hides confidential jobs from users who do not have access to them.
Where do limited summaries appear?
They appear in the candidate profile sidebar, the Activities & Progress tab, Talent Rediscovery, and Bulk Application Review. The setting is designed to keep job considerations visibility consistent across these areas.
Does this setting affect Talent Rediscovery?
Yes. Talent Rediscovery follows the same job consideration visibility rules, so candidate information remains consistent across Ashby. When the setting is enabled, Talent Rediscovery can show a limited summary of non-confidential job considerations outside the viewer's job access. When the setting is disabled, users only see job considerations for jobs they can access, so the most recent application may not appear if the viewer does not have permission to see that job.
We recommend keeping this setting enabled because Talent Rediscovery is more useful when users have a complete, high-level picture of a candidate's job consideration history.
