People Workflows Reporting Subjects

7 min

Reporting in Ashby's People Ops Workflows allows People Ops Admins to analyze Onboarding Workflows, Workflow Steps, and Employee data in Ashby. Access to reports, dashboards, fields, and employees is governed by your organization's Recruiting permissions and People Ops permission sets.

Ashby's People Ops module is currently available through restricted early access. The following documentation is provided for design partners participating in that program.

Permissions and access

Access to these reporting subjects, and to the fields within them, depends on your organization's Recruiting permissions and People Ops permission sets. For a full explanation of how permissions affect what you can view, filter, group, and calculate in a report (including access to Reports and Dashboards, sensitive fields, and Offer fields), see Reporting Access & PermissionsReporting Access & Permissions.

Reporting subjects

There are four primary reporting subjects for People Ops reporting: Onboarding Workflows, Employee Workflows, Workflow Steps, and Employees.

Onboarding Workflows

Use the Onboarding Workflows subject to report on onboarding workflows that new hires are enrolled in. Because this subject connects to Job Consideration fieldsets, use it to report on onboarding with data stored on the Job Consideration rather than the Employees subject.

Field	Definition
Workflow Name	The name of the onboarding workflow.
Status	The status of the workflow: Active, Completed, or Cancelled.
Start Date	The employee's start date.
Workflow Start Date	When the workflow was enrolled and started.
Completion Date	When the workflow was completed. Empty for active or cancelled workflows.
Cancelled Date	When the workflow was cancelled. Empty for active or completed workflows.
Task Progress (%)	Percentage of included steps that are completed (0–100). Empty when there are no included steps.
Completed Steps	The number of completed steps in the workflow.
Total Steps	The total number of included steps in the workflow.
Overdue Tasks	The number of overdue tasks in the workflow (active or blocked steps past their due date).
Time In Workflow (Days)	Days from workflow enrollment to completion. For active workflows, days since enrollment. Empty for cancelled workflows.

Employee Workflows

A superset of all workflows that have run or are running, including Onboarding Workflows. Use this subject to report across workflows in a single chart or table, such as total workflows run this quarter, grouped by workflow category.

Has Issues	Whether the started workflow has a validation issue.
Workflow Start Date	When the workflow was enrolled and started.

Completed Steps	The number of completed steps in the workflow.
Total Steps	The total number of included steps in the workflow.
Overdue Tasks	The number of overdue tasks in the workflow (active or blocked steps past their due date).

Category	The category of the employee workflow.

Workflow Steps

Use the Workflow Steps subject to report on individual steps within an onboarding workflow, including tasks, emails, surveys, e-signatures, Slack steps, SMS steps, and scheduled events. The Workflow Steps subject contains workflow steps from New Hire Onboarding and Form-Triggered Workflows.

Field	Definition
Title	The title of the step.
Status	The status of the step (Future Step, Blocked, Pending, Completed, Skipped, Approved, or Rejected).
Type	The type of step (e.g., Task, Email, Survey, E-signature, Slack, SMS, Schedule Event, etc.). SMS steps appear only when SMS workflow steps are enabled for your organization.
Scheduled At	When the step is scheduled for execution or assigned to a user.
Due At	When the step is due.
Completed At	When the step was completed.
Is Overdue?	Whether the step is overdue.
Assignee	The user assigned to the step.
Completed By	The user who most recently completed the step.
Assignee Role	The assignee's workflow role (e.g., Hiring Manager, Onboarding Buddy).
Completed By Role	The workflow role of the users who most recently completed the step.

Employee Start Date	The employee's start date for the workflow.
Workflow Start Date	When the workflow was enrolled and started.
Time In Step (Days)	Days from the step's scheduled date to its completed date, or to today if the step is not completed. A negative value means the scheduled date is still in the future (the step is on the workflow but has not triggered yet). A positive value is time elapsed since the scheduled date.

Employees

Use the Employees subject to report on employee profile fields that are relevant to People Ops workflows.

Custom fields (People Ops)	Any custom fields you create under People Ops > Admin > Custom Fields > Employee. Each field appears in reports by the title you give it when configured.
Custom fields (Recruiting)	Any employee custom fields configured in Recruiting (separate from People Ops custom fields). Useful when you need hiring attributes that live on the employee record from Recruiting setup.
