ashby's cookie consent feature lets your organization capture and store candidates' cookie preferences on ashby hosted job board pages, in line with privacy regulations such as the general data protection regulation (gdpr) and the california consumer privacy act (ccpa) when a candidate visits your job board, they see a banner that lets them accept, reject, or partially accept tracking cookies their decision is recorded server side and persists across sessions, so candidates are not re prompted unless the banner content meaningfully changes this article explains how cookie consent works, how to enable it, what candidates see, and what your organization's consent records contain permissions and access cookie consent is available on all ashby plans foundations legacy plus plus enterprise ✅ ✅ ✅ ✅ org admins can enable and manage cookie consent settings how cookie consent works when a candidate visits your ashby hosted job board for the first time, they see a banner that prompts them to review and set their cookie preferences candidates can accept all cookies, accept necessary only , or opt to customize settings to make granular selections across four categories necessary required for the job board to function candidates cannot opt out of this category analytical powers session recording and behavioral analytics that help us understand how candidates interact with the job board performance cookies that support job board speed and reliability marketing cookies used to measure the effectiveness of recruiting campaigns and job board promotion this includes any tracking pixels set by your organization the candidate's decision is recorded on ashby’s servers on subsequent visits, the banner does not reappear unless ashby updates the banner version (for example, if new cookie categories are introduced or the banner copy changes), the candidate has cleared their cookies, is using a different browser or device, incognito mode, or a year has passed when a banner update occurs, all candidates with stored preferences are re prompted on their next visit the banner text and re consent triggers are managed globally by ashby and cannot be customized at the organization level consent records every consent decision generates a record that includes a unique consent id the candidate's selections across all four categories the timestamp of the decision the banner version the candidate saw consent records are anonymous by design no candidate personally identifiable information (pii) is captured or linked to the consent record the consent id traces a decision back to a session, not to a specific individual records are archived daily to long term storage to support compliance retention requirements there is currently no in product interface to view individual records if your organization receives a compliance request, contact ashby support https //www ashbyhq com/support to request access to a specific record enabling cookie consent to enable cookie consent navigate to admin > job boards > theme (job board) locate the cookie consent toggle click the toggle to turn cookie consent on the cookie consent banner is immediately active on your hosted job board pages note if your organization uses multiple brands, the toggle is also available on each individual brand page to enforce consent consistency across your brands, enable the cookie consent banner on every brand if only some brands have the banner enabled, scripts run by default on brands where it's disabled, regardless of choices candidates made on other brands what candidates see on their first visit to your hosted job board, candidates see a cookie management banner at the bottom of the page the banner displays the consent options and lets candidates make individual selections before proceeding candidates can also update their preferences at any time by returning to the banner, which is accessible via a persistent button in the bottom right of the job board preferences are stored in the candidate's browser and recorded on ashby's servers as an audit record if a candidate clears their browser cookies, they are re prompted on their next visit and a new consent record is created faqs does cookie consent apply to our careers site or embedded job widget? no the banner copy and the four cookie categories are set globally by ashby and are not customizable per organization when ashby updates the banner, all organizations and their candidates are affected simultaneously what happens if a candidate clears their browser data? if a candidate clears their browser's cookies, their stored preferences are removed from their device the next time they visit the job board, they are shown the consent banner again and prompted to make a new selection a new consent record is created for that session what if a candidate has cookies disabled at the browser level? if a candidate's browser settings block cookies entirely, they will still see the consent banner on every visit because ashby cannot store their previous decision in their browser consent records are only created when a candidate interacts with the banner directly organizations that need an auditable record of every candidate's decision should be aware that browser level blocking falls outside of what this feature can capture what happens if our organization has the cookie consent banner disabled? if the cookie consent banner is turned off for your organization, non essential scripts on your job board run by default — the same behavior that applied before this feature existed in that state, any cookies those scripts attempt to set are subject only to the candidate's own browser settings ashby does not generate consent records when the banner is disabled
