how do i set a meeting organizer for an interview? schedule interview activity 💡 for more on setting up {{schedule interview activities}} , please check out docid 0z5jm eqkvzq oqc03rer if you’ve created schedule interview activities as part of your scheduling setup, you can set the meeting organizer from within the activity itself we recommend using this option if you know the main point of contact for this interview in advance to edit a schedule interview activity navigate to jobs > https //app ashbyhq com/jobs/all select a job click on the interview plan tab click on the activity you’d like to amend, or click modify , then edit on the activity navigate to the direct booking & candidate availability tab at the bottom of this tab, you will see the meeting request organizer drop down select a user from this drop down to determine who should receive notifications for this specific interview instant booking if you’re creating an interview from the candidate’s profile, either by clicking + new interview or by clicking more , then schedule new interview on the candidate’s profile, you can specify the meeting organizer both when sending out a direct booking link or a candidate availability link direct booking links to set a meeting organizer for an interview booked via an instant booking link click + new interview on the candidate’s profile, then create direct booking link determine the interview details like interview type, duration and interviewers in the organizer drop down, select your meeting organizer candidate availability links if you’re generating an instant candidate availability link to send out to the candidate click + new interview , then schedule interview on the candidate’s profile click template on the schedules sidebar navigate to the direct booking & candidate availability tab scroll to the meeting request organizer drop down within the organizer section select the user you’d like to set as the organizer create your candidate availability link from the current tab can i change the meeting organizer? you can only change the meeting organizer up until the candidate schedules via a direct booking link or submits their availability for an interview to change the meeting organizer on an interview activity that has already been generated head to the candidate profile click schedule on the interview activity, then click view all scheduling options click template on the schedules sidebar navigate to the direct booking & candidate availability tab scroll to the meeting request organizer drop down within the organizer section select the user you’d like to set as the organizer please note that if you are switching the meeting organizer for an interview generated from a schedule interview activity on your interview plan, you will need to click unlink & edit to make any adjustments for that specific interview the schedule interview activity template in the interview plan will not be impacted by your edits faq what does the error the meeting organizer needs permissions to communicate with the candidate mean? this means that the user that has been specified in the meeting organizer field doesn't have the permission to communicate with the candidate, when this is a required permission for a meeting organizer to have to amend the user’s permissions, navigate to admin, then to employees from here, update the user to have at least elevated access hiring manager access to the job or department the role is a part of you can read more on permissions at ashby permissions if you are unable to access the employees page, please reach out to an organization admin to make the update what happens if i leave the meeting request organizer field blank? if this field is left blank, the user who creates the candidate availability or direct booking link will be set as the meeting organizer can i set multiple meeting organizers for one interview, or send notifications to other users about candidate availability if they’re not the meeting organizer? no, this can only be done for {{schedule interview activities}} or specific interviews can i change the meeting organizer on an already scheduled interview? no, once the candidate has scheduled via the direct booking link or submitted their availability, the meeting organizer can no longer be changed on that interview the interview would need to be cancelled and then either created again or amended from within the interview activity in order to make changes what happens if i manually schedule the interview generated by a schedule interview activity? the meeting organizer will automatically be set to the user scheduling the interview if the interview is manually scheduled from the schedule interview activity the meeting organizer set within the schedule interview activity will be overridden help! interviews are being scheduled on the meeting organizer’s calendar, rather than on our shared calendar?
