when creating jobs, you have the option to set them as confidential when a job is made confidential, only the creator, users who have been given access to the role and organization admins with access to all confidential roles will be able to see it confidential jobs will also not be listed on your ashby job board confidential jobs can be configured on the plus, enterprise and legacy plus plans foundations legacy plus plus enterprise ❌ ✅ ✅ ✅ overview creating a job and setting it as confidential while using the job creation wizard to set up your job, check the is confidential? to assign a user access to a confidential job navigate to admin > organization setup > https //app ashbyhq com/admin/users click on the user in question and navigate to the permissions tab in their profile if they have elevated access or organization admin access, then you’ll have the option to add an additional access role to their profile scroll to the job access roles section and then click + add select the access role you’d like to assign to the user select the confidential role from the job dropdown click submit to confirm and add the access role to the user’s profile reporting who can view confidential job data in reports? users who have been given access to the confidential role will be able to see the job’s data within generated or saved reports if a user does not have access to the confidential role, they will only see report results for the roles that they do have access to candidates who are only considered for confidential jobs are also looped in with this job data, so those candidate profiles will only be visible to those with access to the confidential role if a user somehow gets a direct link to the profile of a candidate who has been considered for a confidential role, they will see a permissions message faq can interview calendar invites be set to private for confidential jobs? yes if you set a job as confidential on creation or create it from a confidential job template, the is private? toggle will be automatically enabled for any interviews or interview activities you set up as part of the job’s pipeline if you set the job as confidential after it has been created, then interviews and interview activities generated after the confidential status was applied will automatically have the is private? toggle on any generated before the job was set as confidential will need to be amended manually if a calendar invite is set to private, then calendar invite details will not be visible to non attendees viewing the interview on the interviewer’s calendar please note if the interview is scheduled on a shared or group calendar, the invite details will not be private for anyone who has edit/view access to that calendar in these cases, you can opt to schedule the interview to a personal calendar instead will confidential jobs be pulled through to third party job board integrations like linkedin and indeed? as the job posting is set to unlisted, the job postings will not be pulled through to third party job boards via integrations what happens if a candidate is considered for both a confidential and a non confidential job? the candidate will be searchable and visible to those with access to the non confidential job but they will not be able to see the job consideration for the confidential role if a user has access to the department a confidential job is linked to, can they see the confidential role? no the user will have access to all non confidential roles in the department they would need to be given an access role specifically for the confidential job to be able to see it and surrounding data can i set a candidate as confidential? this isn’t currently possible if i set up specific shared interview types and feedback forms for confidential roles, can they be seen by other organization admins or elevated access users with additional permissions to amend those areas of ashby? yes, there isn’t a way to hide shared interviews or feedback forms from other users with access to those areas of ashby in these cases, you could opt to create custom interview types or feedback forms as you configure your interviews if you regularly use the same feedback forms and interviews across confidential jobs (but not for other jobs), you could opt to create a confidential job template more on this at docid\ x1ie8z5pxr7fjkspv6qeu how do openings work when assigned to confidential jobs? if the opening is only assigned to a job set as confidential, only those with access to the confidential job will be able to see the opening if the opening is also linked to other non confidential jobs, others can access the opening but won’t see the confidential job linked to it how do job approval processes work with confidential jobs? as part of the setup process for a job approval workflow, you can check the is confidential? checkbox within the scope section if you check this checkbox, then the approval process will only apply to confidential jobs that meet the criteria set in the approval scope if the checkbox is left unchecked, then the approval process will not be applied to confidential jobs, even if they meet the other scope criteria
