Ratio Reports
This document reviews building ratio reports in Ashby.
Overview
Ratio reports are commonly used to show the number of applications or interviews it takes to get a certain result (ie. a hire, an offer, etc…). Ultimately, ratios allow you to compare a segment to the whole.
A ratio report is a special type of segmentation report.
Create a Ratio Report
- Build: A ratio report is a segmentation report that is visualized as a ratio. Go to Reports and select Build, then choose Segmentation.
- Filters: The filter section will determine what the whole of the ratio is. For example, if you are creating an applications to hires ratio, total applications is the whole.
- Group By: The field you should group by is the one that distinguishes the part of the whole you want to report on. If you are not able to isolate just one segment or part, you will need to create a calculated field.
A ratio reports on a part of a whole. The “part” that you are reporting on must be its own segment or group.
- View Options: By default, you will see a pie chart. Confirm that the group you want to report on is its own slice of the pie. Then select single number chart, select the group you are reporting on, and update the show option to Ratio.

When to create a Calculated Field
Before building the report, you need to ensure the segment you want to report on is defined and is one value in a grouping. For example, if you want to create a ratio report looking at number of applications it takes to get to an offer, you need to ensure that one segment of the report is the number of applications that made it to offer.
If the segment you want to report on is defined by multiple values, you will need to create a Calculated Field that will allow you to isolate the segment. For example, if you want to report on the ratio of phone screens that results in an applicant making it to onsite interview stage, the segment you need cannot be isolated by a single field.
Common Calculated Fields for ratio reports
- Reached Onsite - Opportunity field: furthest stage group reached is onsite and all stages after onsite
- Had _____ Interview - Opportunity field: ___ interview is not empty/ unassigned
Example: Building a ratio report with a Calculated Field
Here is an example of a report that requires you to build a Calculated Field. This video will walk you through how to build a report showing how many applications you need to schedule in phone interview to have an application reach offer stage.
