This article explains how to manage offers and offer letters for candidates in the Offer stage of the pipeline.

# Overview

When it comes to setting up your offer process in Ashby, this guide covers the following steps:

- Create offer custom fields to house offer-specific information.
  - You can also add conditional offer tokens that will only show up if your offer meets certain criteria.
- Add tokens to your offer letter to pre-populate job consideration and offer information.
- Generating and sending out an offer to the candidate.

:::hint{type="warning"}
**Prerequisites:** Ensure you have a .docx version of your offer letter ready to amend and upload.
:::

# Permissions and access

- Only Organization Admins can create offer letters by default but those with Elevated Access can be granted Offer Letter Template permissions. More on this at [Additional User Permissions](docId\:MHy0TXb4sxnqYe9XKvN8e).
- Only users with Organization Admin access or users with the permissions Can See Candidate Profiles, Can Add/Edit Candidates and Can See Private Fields in their access role can generate offers.

# Create offer custom fields

The first step in setting up offers is creating custom fields in the [Custom Fields section](https://app.ashbyhq.com/admin/organizational-settings/offers/offer-fields) of Offers in Admin. For an overview on custom fields in general, check out [Custom Fields](docId\:QpGKlrSCmzgWC-7krBWDs).

Once set up, you can set offer custom fields to have a generated substitution token. When you add a substitution token to your offer letter template, the information from the associated custom field on the Offer Details form replaces the token placeholders when an offer is generated. See [Create an offer letter template](docId\:KLIMfx9N1tAhEBVkMGPOh) for more information on setting up an offer letter template.

The following default tokens are available for offer letters:

`{{CANDIDATE_NAME}}`

`{{CANDIDATE_FIRST_NAME}}`

`{{CANDIDATE_LAST_NAME}}`

`{{JOB_TITLE}}`

`{{JOB_LOCATION_NAME}}`

`{{JOB_STREET_ADDRESS}}`

`{{JOB_CITY}}`

`{{JOB_STATE}}`

`{{JOB_POSTAL_CODE}}`

`{{JOB_COUNTRY}}`

`{{CANDIDATE_EMAIL_ADDRESS}}`

`{{CANDIDATE_PHONE_NUMBER}}`

`{{HIRING_MANAGER}}`

`{{OPENING_IDENTIFIER}}` (available if [Openings Management](docId\:KsXxWI1zugAw8lRp8jwXZ) is enabled)

`{{CANDIDATE_CITY}}`

`{{CANDIDATE_REGION}}`

`{{CANDIDATE_COUNTRY}}`

`{{TODAY_DATE}}`

Offer fields and Candidate fields are not currently interchangeable. Create separate fields for both, even if it's the same information.

The following default tokens are available for e-signature offer letters (more on these at [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW)):

`{{CANDIDATE_E_SIGNATURE}}`

`{{CANDIDATE_E_SIGNATURE_DATE}}`

`{{CANDIDATE_E_SIGNATURE_INITIALS}}`

`{{CANDIDATE_CHECKBOX}}`

`{{COMPANY_E_SIGNATURE}}`

`{{COMPANY_E_SIGNATURE_DATE}}`

`{{COMPANY_E_SIGNATURE_INITIALS}}`

You also have the option to sync fields from your employee management system using the [Rippling](docId\:aCiSdVvNEe5s6dziIJEw_) or [BambooHR](docId\:IIlejxKCqaLk09Pu108ij) integrations (let us know if you'd like access at [support@ashbyhq.com](mailto\:support@ashbyhq.com)).

## Adding text input fields to your e-signature document or offer letter

:::hint{type="info"}
E-Signature text input tokens can be used for e-signature documents and offer letters generated via Dropbox Sign or DocuSign.
:::

To add text fields to your offer letters so the candidate or the company signatory can fill out additional information within the offer, add the following tokens:

`{{CANDIDATE_TEXT_INPUT}}` This text input field provides the candidate with a field to add additional text.

`{{COMPANY_TEXT_INPUT}}` This text input field provides the company signatory with a field to add additional text.

When you click the token in **Admin > Offers > Offer Tokens**, select the field size by choosing a preset size or setting the width and number of lines. You can also check the `Required` checkbox to require the signer to complete the field as part of the signing process.

::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/Vdblf0p9HKE999LinHV6L_offers-acent-ashby-2026-01-29-at-91815-am.jpg" size="80" width="1312" height="1062" position="center" darkWidth="1312" darkHeight="1062" showCaption="false" alt="The screenshot shows the Configure text input token for candidates pop-up, where you can set the width, lines and whether or not the field is required."}

Once you've determined the text input field size and settings, click the token generated to copy it. You can then paste this token into your offer letter.

![The screenshot shows the generated text input token, ready to be added to an offer letter template.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/BU8cdsM2wJWApPF-KIfDO_offers-acent-ashby-2026-01-29-at-92749-am.jpg)

We recommend placing this token on its own line within your offer letter template to prevent layout issues. Here's an example of how to place the token and how it looks when an e-signature offer letter is generated.

## Offer custom field options

You can create an offer custom field by navigating to **Admin > Offers > Offer Custom Fields** or by going to **Admin > Organization Setup > Custom Fields** and selecting the `Offer` tab. Click `+ New` to add a new offer custom field.

You are then prompted to add the following:

- **Title**: Name your field.
- **Description**: Optionally, add a description that appears below the title.
- **Field Type** (see options at [Creating custom fields: Offer custom fields](docId\:QpGKlrSCmzgWC-7krBWDs))
  - Depending on type selected, an options panel may appear.

![The screenshot shows the Create Offer Field popup on the Offer Custom Fields page.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/6QJ1AJx-Eqa14OD_k4jU0_offer-custom-fields-ashby-2026-09-24-at-91316-am.jpg)

Click `Create` to save your custom field. Once the field is created, you see additional options when editing it:

![Editing an offer custom field.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/YYME6htvF2V8uLLyiWEao_custom-fields-acent-ashby-2026-03-24-at-111849-am.jpg)

- **Is Required?**: Determine if the field must be filled out.
- **Instructions:** If instructions are provided on the offer custom field, this shows to team members when they fill out a candidate's offer (instead of showing the custom field's description). These instructions can also be set with rich text formatting, which also shows when filling out the candidate's offer.
- **Require Reapproval**: If the field's data is changed, the offer must be re-approved.
- **Substitution token**: Create a token to pull data from this field into an offer letter or e-signature document. If you opt to generate a token for a multiple choice custom field, you get a follow-up option, **Customize Substitution Text**.
- **Default Value:** Determines the default value to use when this field is used in a fillable form. The default value can only be pulled from a custom field with the same field type (for example, Multiple Choice in this case), or it can be set to a static value instead.
- **Hide this field if a default is chosen?** If a default value is found using the Default Value option above, hide this field in the offer form.
- **Make this field non-editable?** If a default value is selected, then the field cannot be overridden manually within the offer details.
- **Restrict which offer forms include this field?**: Specify which jobs or departments should display this custom field on offers. These are also known as conditional offer fields.

## Conditional offer fields

Conditional offer fields let your team display fields on the offer form only where they are relevant. There are two ways to use conditional offer fields:

- Restrict offer fields to particular forms
- Include questions based on other questions in your form

**Restrict offer fields to particular forms**

This option lets you display certain fields on specific forms. For example, you could display a variable compensation field only on offers in your Sales department.

::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/9oCcNendM1VqZQvMsnsxJ_custom-fields-ashby-2026-09-24-at-101218-am.jpg" size="70" isUploading="false" width="1026" height="1016" darkWidth="1026" darkHeight="1016" alt="The screenshot shows a custom field with a condition set so the field will only show if the department for the job is Sales." showCaption="false"}

**Include questions based on other questions in your form**

This option lets you display questions based on responses to other questions. For example, you display a date input field specifically on offers where the hire works remotely.

::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/uIacvjp-b3yG1eO3Dc0KS_custom-fields-ashby-2026-09-24-at-101641-am.jpg" size="70" isUploading="false" width="1048" height="1010" darkWidth="1048" darkHeight="1010" alt="The screenshot shows a custom field that will only show on an offer form if the Is remote? custom field's answer is Yes." showCaption="false"}

# Create an offer letter template

:::hint{type="info"}
Review [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW) for more information on creating e-signature offer letters. You do not need your own Dropbox Sign integration to use E-Signature in Ashby. It's ready to use just by adding the tokens to your offer letters!
:::

Offer Letter Templates can be configured on the Foundations, Plus, Enterprise, and Legacy Plus plans:

| Foundations | Legacy Plus | Plus | Enterprise |
| ----------- | ----------- | ---- | ---------- |
| ✅\*         | ✅           | ✅    | ✅          |

:::hint{type="info"}
Users on the Foundations plan can configure one offer letter template. Users on the Legacy Plus, Plus, and Enterprise plans can add as many offer letter templates as needed.
:::

Once your custom fields are set up and the Enable Substitution Token has been configured on each, use those custom fields as tokens in your offer letter. To configure, copy the tokens from the [Offer Letter Tokens page](https://app.ashbyhq.com/admin/organizational-settings/offers/offer-letter-tokens) and paste them into the body of your offer letter template.

:::hint{type="info"}
Adding \_RAW to the end of any **numeric** or **currency** substitution token strips formatting from the field. For example, a large number MY\_FIELD might be formatted as 1,000,000, but MY\_FIELD\_RAW renders as 1000000. This avoids problems when using Word tables.
:::

On that page, you also find [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW) that automatically enable e-Signature for your offer letters. Adding candidate e-Signature tokens enables e-Signature for an offer template. Add company e-Signature tokens to require a counter signer.

## Offer letter template upload

:::hint{type="info"}
For information on troubleshooting formatting issues, see [Offer Letter Template Formatting](docId\:VznQ4S_-oH-0fuNsp7q6u).
:::

Once the template is configured with tokens, navigate to **Admin > Offers > Offer Letter Templates** and click `New`.

![The screenshot shows the Offer Letter Templates with the highlighted + New to upload a new offer letter template.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/VvVTTRwFgB4RDTbsPJGlz_offer-letter-templates-ashby-2026-09-24-at-91636-am.jpg)

Add a title and upload the file in .docx format. Next, click the refresh button 🔄. The form is then validated for any errors. You are notified if anything in the form needs to be updated.

![The screenshot shows the popup after an offer letter template has been uploaded and validated.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/GNYWTGP97Sh12bpskhGSd_offer-letter-templates-ashby-2026-09-24-at-91823-am.jpg)

:::hint{type="warning"}
There is a limit of 8MB when uploading an offer letter template.
:::

You can set conditions on your offer letter to limit the job considerations it can be used for. In the example pictured above, the offer letter template can only be used for job considerations for roles in the Design department.

- To enable this option, check the `Only allow using this Offer Letter Template on specific job considerations?` checkbox.
- Use the Advanced option to confirm whether you are using Advanced or Basic filtering to determine your conditions. Click `+ Filter` to determine the fields you're filtering by if using basic filters, or `+ Add Field to Match` if you are using advanced filtering to set your conditions.

# Create an offer on a candidate profile to send to a candidate

When a candidate moves to the Offer stage in the candidate pipeline, an offer activity is generated in the Activities section of their candidate profile. Click `Create Offer` to complete the Offer Details form.

![The screenshot shows an open candidate profile with the Create Offer button highlighted.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/QqlkXgbUt2Y70dqPZ3GBi_tim-tatler-customer-support-specialist-ashby-2026-09-24-at-102127-am.jpg)

Once you have completed the offer details, click `Submit`. You will then have the option to generate an offer letter or e-signature request for the candidate.

To edit any entered offer data, click `View Offer`, then `Update Offer` under the offer details.

## Generate an offer letter and draft an offer letter email

:::hint{type="info"}
To learn how to send e-signature offer requests, see [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW).
:::

1. Click `View Offer` on the offer activity and select `Generate Offer Letter` to create a populated PDF version of the offer letter.

   - You'll be prompted to select the offer letter template and the number, currency and date formatting. If you have defaults set at **Admin > Offers > Offer Settings**, then you can override them for this offer letter.

   ::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/c_iJa8Fj-P0lS9CCKYPTy_elaine-payne-marketeer-ashby-2026-11-05-at-121233-pm.jpg" size="70" isUploading="false" width="828" height="868" darkWidth="828" darkHeight="868" alt="The screenshot shows the Generate Offer Letter pop-up where you can select the offer letter template and determine the number, currency and date formatting." showCaption="false"}

   - Click `Generate Offer Letter` to confirm and create the offer letter. The form data entered populates substitution fields in the generated PDF Offer Letter.

" showCaption="false" indent="1"}

:::hint{type="info"}
If your team uses [Offer Packet Templates,](https://app.ashbyhq.com/admin/organizational-settings/offer-packet-templates) you will see an `Apply Offer Packet Template` button instead. This adds a saved set of documents to the offer in one step. For more information, see [Offer Packet Templates](docId\:KsFRcYfn3Y_dM1id-bQZX).
:::

2. Review the offer letter by clicking the eye icon beside the letter, or click `Draft Offer Letter Email` to generate an offer email with the letter attached.

::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/I1SyJ6VldWxe9rvO70Yxi_alana-runte-digital-marketing-manager-ashby-2026-09-24-at-103935-am.jpg" size="100" isUploading="false" width="1422" height="834" darkWidth="1422" darkHeight="834" alt="The screenshot shows the open offer letter with the Draft Offer Letter Email button highlighted." showCaption="false" indent="1"}

3. Apply an existing offer email template, or draft your message anew.

:::hint{type="info"}
Create an [Email Template Creation and Management](docId\:wQ6UOYDzwfAtDmZhOPsfJ) to save even more time extending offers to candidates.
:::

4. Click `Send` when ready. These messages are marked as private when sent.

## Upload a custom offer letter

:::hint{type="info"}
You can upload offer letters directly to an offer. If you have a .docx file that you'd like to use to generate the offer letter for a particular candidate, you can add it directly without first adding it as an offer letter template. You can also generate a letter based on an offer letter template, download it, make adjustments, and re-upload it.
:::

1. Ensure that the `Enable Custom Offer Letter Uploads` option is enabled in **Admin > Offers > Offer Settings**.

::Image[]{src="https://cdn.zappy.app/9b72013c4e2f6029d1a6f22d17558a79.png" size="60" width="660" height="447" darkWidth="660" darkHeight="447" position="center" showCaption="false"}

2. Create your offer from the candidate's profile.
3. Once you have added your offer details and created the offer, in the **Offer Letter** section, click `Upload Custom Offer Letter`.

![](https://cdn.zappy.app/913fc6535d408b683c9c2d277612e0aa.png)

4. Click `Browse files…` and select the .docx file you'd like to use.

::Image[]{src="https://cdn.zappy.app/09318a2f12c4d7eed18c4e3d4cb090f5.png" size="88" width="1130" height="528" darkWidth="1130" darkHeight="528" position="center" showCaption="false"}

5. Once uploaded, the file is validated. Select the formatting style using the Number Formatting and Currency Formatting drop-downs, then click `Generate Offer Letter`. If you added offer tokens to the document, they are validated and used, just like with an offer letter template.

# Push hired candidate to Rippling or BambooHR

When a candidate accepts an offer, you see an option to push hired candidates to your human resource information system (HRIS).

Clicking `Select a Post Hire Integration` creates a new employee record in the system, including the latest offer data.

# Rescinding or withdrawing an offer and handling declined offers

To rescind an offer for a candidate and nullify the e-signature request sent to them, click `Archive` on the candidate's profile. Do not delete or amend the existing offer. While archiving, set the archive reason to one that specifically mentions the rescinded offer.

![The screenshot shows a candidate profile with the Archive option highlighted.](https://cdn.zappy.app/b7c1f773d6729200f8e760e761ecb6dc.png)

If you don't already have an archive reason for rescinding an offer, set one up in **Admin > Jobs & Applications > [Archive Reasons](https://app.ashbyhq.com/admin/organizational-settings/candidate-archive-reasons)**. We recommend having one in place for reporting purposes and ease of reference.

## How do I rescind an offer and archive a candidate in the Hired stage?

If the candidate is already in the Hired stage but needs to be archived, take the following steps:

- Navigate to the candidate's profile and click `Change Stage`.
- Move the candidate back to the Offer stage of the pipeline. The `Archive` option then appears on their profile.
  - If the candidate has rejected the offer, update the candidate response to ensure it is reported on accurately.
    - To do this, click `View Offer` within the offer activity on the candidate's profile, then select `Update Response` to amend the offer response.
  - If you do not need to amend the offer, click `Archive` and select an appropriate archive reason as above.

# Offer version history

The offer version history lets your team track amendments made to offers, including the approval record and any approval comments.

To view an offer version history:

1. Click `View Offer` on the offer activity on the candidate's profile.

::Image[]{src="https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/tWzcTdtaiAVZRdg7UpWu3_offer-version-history-updates-archbee-document-2026-03-27-at-95954-am.jpg" size="100" isUploading="false" width="2670" height="1036" darkWidth="2670" darkHeight="1036" showCaption="false" indent="1"}

2. Click the `View Previous Versions` button within the Offer Details section.

   ![](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/s8cf6qvqjgptqVSShsVs2-20260325-154834.jpg)
3. The versions are listed with an overview of any changes made. Click `View Details` on the version in question within Version History.

# FAQ

### How do I make offer emails private?

For more on this, check out [How do I make offer emails private?](docId:9OIj8aG_kKD1cXf4cxJDG).

### Do I need a Dropbox Sign account to use the E-Signature feature?

No, you do not. The Dropbox Sign integration is built-in and can be enabled just by adding the E-Signature Tokens to your Offer Letter Template. See the [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW) for more information on setting up and using E-Signature. If you'd like to connect your company's DocuSign account, you can read more at [Docusign](docId\:q9692LmyFdYbtE1VmW3nH).

### Can I designate a user to sign on behalf of the company?

To assign a company signatory, create an offer letter that includes candidate and company e-signature tokens on the [Offer Tokens page](https://app.ashbyhq.com/admin/organizational-settings/offers/offer-letter-tokens). Once you've created the offer and your offer letter, you see the option to send an e-signature request and can assign your company's signatory from there. For more information on e-signatures, see [E-Signature Offers](docId\:ZSjEK0E500MeDHTKQqelW).

![The screenshot shows an open offer e-signature request with the Company Signatory section highlighted.](https://cdn.zappy.app/b0f0430e9f0c1149859c4a6996c69acb.png)

### What notifications does a person CC'd on an offer letter signature process receive?

A person CC'd on an offer letter receives an email when: the signature process starts, the candidate views the offer, the company signatory views the offer, and the offer has been signed by both the candidate and the company signatory.

### Are there any file size requirements?

When uploading offer letter templates to Ashby, there is an 8MB file size limit. This is due to performance requirements for PDF conversion.

You may notice that templates just under the 8MB limit might be accepted but fail to process after being populated with candidate data that takes it over that 8MB threshold. We recommend keeping the template size under 7MB when possible for the best reliability.

### How does the Hiring Manager substitution token work with offer letters?

When adding the `{{HIRING_MANAGER}}` token to an offer letter, be aware that this pulls the Hiring Manager from the Hiring Team section of the job consideration on the candidate's profile, rather than the hiring manager set in the offer details.

### Can I set the offer as accepted or declined within Ashby?

You can. Click `View Offer` on the offer activity, then `Set Response` within the offer details. Set the offer as accepted or declined on the candidate's behalf.

![The screenshot shows an open offer with the Set Response option highlighted.](https://cdn.zappy.app/2ae11a50e1497cf0a93a294091f37bee.png)

Once an offer is accepted or declined, this button shows `Update Response` instead.

![The screenshot shows an open offer with the Update Response option highlighted.](https://cdn.zappy.app/05837831c03a581fd73ca9e7b2299964.png)

If the offer is marked as accepted, the candidate moves to the Hired stage. If the offer is marked as declined, you are prompted to archive the candidate, but the candidate is not archived automatically.

If a candidate is linked to an opening and the offer is marked as declined, they are removed from that opening.

### Can I view the offer letter or offer details once the candidate is hired?

You can, as long as you are an Organization Admin or have Elevated Access - Admin Private access to the job, location, or department. Navigate to the candidate's profile and click `View Offer`. Here you can view the offer details and click the document links within the Offer Letter section to view the offer letter and documents sent to the candidate. E-Signature details are available in the Offer E-Signature section.

### How do I change the name of my offer letter template?

To change the name of your offer letter template, navigate to **Admin > Offers**. On the Offers page, click the `Offer Letter Templates` tab, then select the offer letter template. Update the name in the Name field.

### Can I adjust the formatting of numbers, dates, and currencies on my offer letters and e-signature documents?

You can choose between US-style formatting and European-style formatting for numbers, and specify currency formatting for offer letters, e-signature offers, and documents. Navigate to **Admin > Offers > Offer Settings** to determine your offer settings. Alternatively, go to **Admin > Integrations > E-Signature Documents** and click the `Settings` tab to configure your e-signature document settings.

![The screenshot shows the Offer Settings page.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/xAmgBLy9_9tfbj-IITX-t_offer-settings-ashby-2026-09-24-at-103406-am.jpg)

- **Default number formatting:** Choose whether numbers display in European or US style.
- **Default currency formatting:** Choose whether currency displays as a symbol ($) or a country code (USD).
- **Default date formatting:** Select your preferred date display format from the dropdown list.

You can also override the default number and currency settings when generating offer letters.

![The screenshot shows the Generate Offer Letter popup with the options to set number, currency and date formatting.](https://api.archbee.com/api/optimize/0p8tQ--ZZOxRtkVp6Qr-e/JRczifiYyWZfJ2Aamk65H_alana-runte-digital-marketing-manager-ashby-2026-09-24-at-103553-am.jpg)

If you override the number or currency settings when creating an offer, other e-signature documents added to the same packet inherit the same setting. If you don't override the default setting, the global default applies to e-signature documents.

### Can previous offer versions expire?

There is no cutoff or expiration date for offer versions.

### Can a CC recipient be added automatically to offer letters?

Yes. Add the recipient to an **[Offer Signature Request Template](https://app.ashbyhq.com/admin/organizational-settings/offer-signature-request-templates)** in the **CC** field. When the recruiter selects that template while sending the offer, the recipient is automatically added to the request.

You can also use Hiring Team roles, such as the Hiring Manager, instead of a specific person. Hiring Team roles will only populate when a Hiring Team is defined on the job.
