How do I use multi-day scheduling?

limited access ❌ agency user ❌ elevated access external recruiter (not linked to an agency) ❌ elevated access analyst ❌ elevated access hiring team member ❌ elevated access hiring manager ✅ elevated access admin ✅ elevated access admin private ✅ organization admin ✅ multiple interview events & candidate availability if you set up a schedule interview activity to include multiple interview events, you’ll see that you’ll no longer be able to send out a direct booking link to the candidate this is because direct booking only supports interview activities with one interview event as such, if you’re booking an event with multiple events and want to find suitable slots, we would recommend sending out candidate availability links so the candidate can add in time slots that are best for them when you move a candidate to the stage with your configured interview activity with multiple interview events, you’ll see the option to draft an availability request and to request candidate availability click either to create a candidate availability link to send to the candidate how does candidate availability work on the candidate’s side? watch the below recording to see the candidate availability process from the candidate's perspective scheduling the interviews over multiple days once you’ve received the candidate’s availability, or determined times that work via email, you can now manually schedule the interview click start manual schedule (or schedule > manual schedule if the candidate didn’t submit availability via a link) to schedule via the calendar interface while selecting suitable slots on the calendar interface, check the multi day schedule checkbox when moving to other days, the interviews will no longer be automatically moved to those dates when multiple interviews are being scheduled, changing the date of one of the interviews will also automatically enable multi day scheduling calendar invites and reminder settings in the communications section of your scheduling process, you can configure your calendar invite and interview reminder settings for this interview calendar invites in the manage candidate invites section, you can determine whether the candidate invites should be split per event, or whether the candidate and interviewer calendar invites will reflect all events when sent out split the calendar invite the candidate will receive a separate calendar invite for each interview event in this example, there are two interview events across multiple days so the candidate will receive two calendar invites this option is best for interviews across a number of days include all events in the calendar invites the candidate will receive one calendar invite that spans the full duration of the interview schedule in this case, the calendar event runs from tuesday 17th september through to thursday 19th september this option is best used for interviews that all happen on the same day but have breaks between each event if interviews are separated by 30 minutes or less, the candidate calendar will be created with all events included interviewer invites interviewers will receive a calendar invite for only the interview events they are on the panel for conferencing links ashby will generate a unique conferencing link for each candidate invite if zoom, microsoft teams or google meet are set as the location for the interview events the interviewer invite’s conferencing link should match that of its corresponding external invite when an invite is rescheduled, ashby will use existing meeting links if at all possible if a new external invite is created due to an interview event being rescheduled, a new meeting link will be generated if an external invite is deleted because an interview is rescheduled, the corresponding interviewer invite’s meeting link will be updated to match its new corresponding external invite’s conferencing link interview panel summary substitution token the “interview panel summary” substitution token resolves as a bulleted list of interview events that includes the time, event title, and interviewers when using this token in emails with multi day scheduling if the full interview schedule spans a single day, the token will resolve as a bulleted list with date, time, event title, and interviewer details any breaks will be listed schedule spanning a single day schedule spanning a single day if the schedule spans multiple days, we will include the day followed by a bulleted list of the events occurring on that day schedule spanning multiple days schedule spanning multiple days when using this token in calendar invites with multi day scheduling instead of displaying all events in the schedule, only the events that are included in the corresponding candidate invite will be displayed candidate invites with interviews spanning multiple days (with the candidate receiving a single calendar invite for each event) image png candidate invites with interviews spanning multiple days (with the candidate receiving one calendar invite for all interview events) interviewer invites each interviewer gets an invite for the day their interview is scheduled image (1) png
