if you have the google workspace or microsoft 365 integrations in place and allow users to sync over automatically, any new users will be automatically provisioned this guide is for those who have opted to not sync and provision users with accounts and would prefer to add users manually, or for adding users who are outside of your organization so they can access ashby, be scheduled for interviews and more provisioning a new user if you’d like to add a user manually navigate to admin > organization setup > https //app ashbyhq com/admin/users hit new and add in the user's name click create add their email address to the email address field on the newly created profile so they can access ashby the user will show as new unprovisioned employee to activate their account, click actions on their profile, then activate the new user will now be able to log into ashby and you can assign their permissions more on permissions and access roles at docid\ i5jhibmkqhyobnnvrl8rk deactivating and terminating users in ashby you can deactivate or terminate an active user or employee account if they shouldn’t have access to ashby deactivating an account means the user loses access to ashby and terminating an account means the user loses access to ashby but all of their access roles are also removed from their profile to deactivate or terminate a user account navigate to admin > organization setup > employees and click on the user in question click actions on their profile, then deactivate or terminate reactivating a user profile in ashby if you’d like to reactivate a user’s account in ashby, you can adjust the is active? filter that shows all active users by default on the employees page the filter can show up in two different formats, depending on whether you have basic or advanced filters toggled on this is the view for those with advanced filtering toggled off you can click on the filter directly to switch it to no and show all deactivated and terminated profiles this is the view for those with advanced filtering toggled on you can click no to switch the filter to show deactivated and terminated users once you’ve adjusted the filtering as needed, you can locate and click on the profile you’d like to reactivate, click actions and then activate to re activate the user profile faq when adding a user’s email to their profile, i see this email is already used by another user why? this is because a user with this email address already has a profile within your account we’d recommend viewing your deactivated and terminated user list as they should be listed there (more on amending those filters in the above reactivating a user profile section docid\ jgh sn34vmmt0v5cezha8 ) you can then head into their profile, click actions and then activate to reactivate their profile will newly added and activated users receive an email confirming their access to or inviting them to log in to ashby? no, new users will not receive an email notification with an invite but as soon as their account is active, they’ll be able to sign in at https //app ashbyhq com/signin share this link with them so they can log in for the first time can i view all users (activated, deactivated and terminated) in one list? absolutely, you can remove the default filter that only pulls active users to view the full user list click the trash can icon to the right of the filter to remove it what is the difference between deactivated and terminated users? we would recommend deactivating users if they are still with your company but you no longer want them to have access to ashby terminating a user will remove all of their access roles as well as stop them having access to ashby, so we’d recommend using this option if the user is no longer with the company can i add external recruiters as users? you can! if these users should only be able to view candidate profiles linked to their agency, check out the docid\ hprdn81j0nbggnh4s je1 for more information on setting up agency users are deactivated users removed from interview pools? are they removed from scheduled interviews? deactivating an employee does remove them from interviewer pools but deactivating an employee does not remove them from an interview they’ve already been scheduled to participate in interviews would need to be manually rescheduled with a new interviewer can i amend an employee’s email on their profile? if an employee’s email has changed (or if there was a typo in the entered email when their account was initially created), you can click into their profile on the employees page, then edit the email address listed in the email section of basic info can i delete a user/employee in ashby? currently users listed on the employees page can have their profiles deactivated or terminated it is not possible to delete profiles completely can i switch an agency user to be an employee user instead, so i can assign them different permissions? you can, yes this is usually used when you’d like to provide an agency user with additional access to certain roles (for example, the ability to schedule candidates and view all candidates considered for the role) head to admin > organization setup > https //app ashbyhq com/admin/organizational settings/agencies/list select the agency and the agency user in question head to the permissions tab on the user’s profile in the agency drop down, click the x beside the agency name this will remove the link between the user and the agency the user will automatically be given the limited access access role if you’d like to provide them with a specific access role to a job or department, set them to have elevated access, the determine the level of access they should have and the roles, departments or locations they should have access to more on this at docid\ i5jhibmkqhyobnnvrl8rk if you’d like to switch an employee user to be an agency user, use the agency dropdown on the user’s profile to select an agency and assign it to the user
